How to Choose a School ERP in India: A 10-Point Checklist
A practical checklist for principals and school owners comparing school ERP software: setup time, parent communication, fees, AI, data safety and support.
A school ERP touches every person in your school, from the accountant to the youngest student’s parents. Choosing the wrong one costs months of frustration. Choosing well gives your office hours back every week. Use this checklist when you compare options, and ask every vendor to show you each point live, not on slides.
1. How long does setup really take?
Ask for a date, not a range. Some systems take weeks of data entry by your own staff. A good vendor imports your Excel lists for you and has your school running within days. EduMaxim, for example, goes live in one day once you share your student, teacher and fee lists.
2. Will teachers actually use it?
If marking attendance takes longer than a paper register, teachers will quietly stop. Ask to mark a full class yourself during the demo. It should take a few taps on a phone, with an “all present” option.
3. How are parents kept informed?
Parents judge your school by how informed they feel. Check whether absence, fee and result updates reach parents automatically, and whether both parents receive them, not just one number on file.
4. Does fee collection reduce calls?
Look for monthly fees that can be added to a whole class at once, one-tap reminders to unpaid parents, and receipts created automatically. If your accountant still has to phone parents one by one, the software is not doing its job.
5. Does it show you which students are falling behind?
Most systems store marks. Fewer show you which topics each child struggles with. Ask whether marks can be recorded topic by topic and whether struggling students are flagged early, before the final exam.
6. How is AI used, and who decides?
AI can save teachers hours of checking, but a machine should never give a child an official mark alone. Ask whether a teacher confirms every AI-suggested score.
7. Can parents see the school bus?
Live bus location removes the most common morning phone call. Better still is boarding and drop-off confirmation for each child, so parents know their child actually got on and off.
8. Who can see what?
Ask how outsiders are kept out, whether teachers can see other subjects’ marks, and whether there is a record of who changed what. These questions matter more than any marketing claim about security.
9. Does it need special hardware?
You should not need new computers or devices. Software that works in the browser on the phones your staff and parents already own is easier to roll out and cheaper to run.
10. What happens after you go live?
Ask who trains your staff and who you call when something goes wrong in week two. A vendor that stays with you through the first weeks is worth more than a long feature list.

Print these ten points and tick them off during each demo. The right school ERP will pass most of them while you watch.
